The Radboud Data Repository (RDR) operates within a policy framework that provides guidance for Radboud University researchers, data stewards, policy makers, support staff, and external parties on the standards, responsibilities, and procedures that govern the use of the RDR.
Together, the policies and guidelines help safeguard research integrity, protect personal data, and support long‑term accessibility in accordance with institutional, legal, and disciplinary requirements.

Repository Policy
The Repository Policy sets out how the Radboud Data Repository (RDR) is governed and should be used by its users. It ensures that the repository’s content and operations support its mission and provides the framework within which the RDR is managed.
The document describes what types of research materials may be deposited in the RDR and the conditions under which submissions are accepted. It explains how collections are reviewed, curated, versioned, and maintained, and how the repository handles deletion or retraction. The policy also clarifies how metadata and collections are made accessible, and how metadata can be harvested by external services for broader discovery.
Roles and Responsibilities
The Roles and Responsibilities document describes the various user roles within the RDR such as collection managers and research administrators, and clarifies their tasks and obligations.
It serves as an addition to the repository policy and provides guidance on who is responsible for depositing data, documenting collections, managing access, reviewing content, and ensuring compliance with institutional policies. Thereby supporting transparency, accountability, and high‑quality data governance.
Preservation Plan
The Preservation Plan outlines the repository’s strategy for the long-term preservation of the research data that is archived or published in the RDR. The plan is based on the reference model for an Open Archival Information System, the FAIR guiding principles, and on preservation plans of certified research data repositories.
Privacy Policy
The Privacy Policy describes how the RDR processes and protects the personal data of its users, such as researchers, collection managers, and external collaborators who access the platform. It explains which categories of user data are collected, such as account information, authentication details, and usage logs, and the measures in place to safeguard them.
Importantly, this policy does not cover the personal data that may be contained within RDR collections. The handling, protection, and lawful processing of such research data are described in the ‘Repository Policy’ and the ‘Roles and Responsibilities’ document.
Service Level Agreements and Key Performance Indicators for the Radboud Data Repository
To support researchers in their archiving and publishing activities, the RDR must meet the expectations of its users in terms of availability, user support, information security, and performance. The Service Level Agreements and Key Performance Indicators for the RDR identifies the services required and the expected level of services of the RDR. The goal of this document is limited to communication purposes and expectation management.
